Today I wanted to write an article on a little different topic. This thought came to my mind after having a long office call. That too inspired by my project manager who sends minutes of the meeting after every call. Today also I received clean and neat minutes of the meeting after the call. I have had so many good project managers in my professional career who has given me great experiences while working with them.
I used to work with someone a few years back. Especially during my early days of work, I used to have problems in understanding the content clearly from a call. Grasping requirements from a call was something pretty new to me during my early days of the job. It was even very hard to understand what people were trying to say. That's when I saw this project manager who sends minutes after ever meeting or call. Some of my team members even used to tease saying that we can even sleep during his calls having nothing to worry about missing what he told. Even while he is talking his hands would already be on a keyboard typing the minutes. The minutes would be shared right after the call.
Advantages of sharing minutes after each call or meeting
For any communication happening between two people or multiple people, it is always hard to make sure both the parties were aligned and understood everything 100 percent. That is when minutes play a vital role. One person from the call can take ownership to update all the participants about what was discussed during the meeting. This also gives a clear picture of the action points every individual has.
Sometimes the discussions can also lead to misunderstanding. In such cases sending minutes will help in creating another opportunity to clarify the requirements if something is not clear.
Minutes can act as a good record or proof in some cases if the outcome is not as expected. It helps in solving disputes between parties. Sometimes people will twist their words saying that they meant something else and a totally different thing was implemented. Having a minutes can justify the points and if something goes wrong, the minutes can be quoted and clarifications can be made.
Minutes of a meeting can also act as an agreement between multiple people to ensure that actions are clear from everyone's end and we can keep things rolling.
